How to choose the right vehicle

It is the responsibility of the passenger or the booking agent to select the appropriate vehicle to accommodate the number of passengers and luggage. Assuming you want to change your vehicle type in the wake of booking, email us at no less than 24 hours before the planned pickup time.

Understanding the pricing system

Our estimated price includes every passenger in the chosen car; it is not per passenger. The type of vehicle, the amount of luggage, the number of passengers, and the distance between your locations all affect the cost. Pricing decisions are based on the most economical path. If you opt to take an alternative route, you are in charge of covering any additional expenses, including gas, tolls, waiting periods, and more distance traveled.

Booking via Phone

We handle reservations over the phone, seven days a week. When processing any reservations, we provide them our undivided attention. It is important to know that some reservations might be recorded for training and verification purposes. However, we dispute any responsibility for any erroneous information obtained from these sites. 

Confirmation of Booking

Every reservation—whether booked online or over the phone will have an email confirmation. Within 30 minutes after making a reservation, if you have not received a confirmation email, please contact us by phone or email to find out the status. For passengers who have made round-trip reservations, you must confirm your return pickup appointment by call or email at least 24 hours before the scheduled collection time and no later than 72 hours in advance. If you do not, there may be a cancellation, and no reservation will be made for the return journey, even if you settled in advance. 

Even if you have paid in advance, if you anticipate difficulties reconfirming the return trip, please email us to make special arrangements. Please make special arrangements by emailing us to obtain the confirmation email with your return journey booking reference number if you anticipate having trouble reconfirming the return journey. Please be aware that reservations made less than 12 hours before the collection time may be canceled at our discretion.

Payment Options

We provide two methods of payment:

  • Make your payment to the driver directly.

  • Use Paypal or Worldpay merchant services to make a prepayment with a credit or debit card. There will be an extra £5.00 fee for debit/credit card purchases via PayPalfc/Worldpay for tickets up to £100.00. A 5% extra will be tacked on to fares exceeding £100.00.

Prevention of Fraud

The security and safety of our drivers and passengers are our top priorities at Haramain Travels. To uphold this pledge, we have taken the following actions:

Security Cameras 

We have sporadically installed surveillance cameras in our cars for everyone's protection. The purpose of these cameras is to guarantee a safe and cozy atmosphere for both drivers and passengers.

Credit and Debit Card Verification

Every credit and debit card reservation is subject to careful verification and anti-fraud measures. This step is crucial to safeguard our customers' interests and preserve the integrity of our payment procedures.

Charges for Waiting Time

For airport and cruise port pickups, we provide a complimentary 40-minute waiting period beginning at the moment of landing or the arranged pickup time. After this first grace period, waiting time costs 20p per minute with a minimum fee of £5. 

If the flight is delayed by less than one hour, we will accept it without extra charge. However, delays exceeding 2 hours will be charged at 20p per minute (minimum £5). This fee takes into account the effort required to extend the designated driver's wait time. If such an extension is not agreed to, we may cancel the assigned driver and attempt to reassign the work to another driver. If all efforts fail, the booking will be canceled by our cancellation policy.


For pickups from homes, hotels, offices, and other venues, passengers are allowed a grace period of 10 minutes from the booked time. Beyond this grace period, waiting time charges will be incurred at a rate of 20p per minute, with a minimum charge of £5.00, added to the quoted fare.

Additional Passengers and Luggage

The Haramain Travels controller can grant authorization if you need to add more people or luggage than the vehicle can accommodate at the time of the first agreement. These additions, however, cannot go over the maximum capacity for the particular vehicle type that you have reserved.

Additional Pick-ups and Drop-offs

There will be an £8.00 cost for each pick-up or drop-off in addition to charges based on the per-mile rate for additional drop-offs and pick-ups.

In Case of Missed Flights

We ask that passengers notify Haramain Travels customer care as soon as possible if they miss their journey. With this notification, we can ensure that our driver doesn't go to the airport for the scheduled pick-up and can act promptly. 

If the trip was paid for in advance, we will start the refund procedure by the refund policies outlined below. Alternatively, we are happy to offer this service at no additional cost should the traveler wish to reschedule their trip to accommodate a later flight.

Factors Influencing Route Selection

Our drivers analyze several criteria while choosing the best route to your location, including traffic patterns, the anticipated time of arrival, road closures, and detours. You may be confident that our goal is to give you the fastest, most convenient travel experience imaginable.


We aim to make it as simple as possible for you to cancel or modify your appointments because we recognize that plans might change. To learn more about the available refunds based on the time of cancellation, please see our cancellation policy below.

Booking Time:

For cancellations made by passengers, the following fees are applied: a minimum 10% administration fee, plus 5% bank charges.

Cancellation Refund Details:

  • 100% Refund Applicable: You are qualified for a complete refund if you cancel 24 hours or more in advance of the planned pickup time. An 80% refund will be granted for cancellations made between 12 and 24 hours before pickup. Within 6 to 12 hours of the scheduled pickup, cancellations are refundable 50% of the total. Cancellations made between two and six hours before pickup will not be eligible for a refund.

  • 80% Refund Relevant: An 80% refund will be given for cancellations submitted up to six hours before the scheduled pickup time. You can get a 50% refund if you cancel three hours before pickup.

  • 50% Refund Applicable: Refunds of 50% are granted for cancellations submitted up to three hours before the scheduled pickup time. You can get a 30% refund if you cancel two hours before pickup.

  • 30% Refund Applicable: No refunds will be given if your reservation is canceled.

These guidelines guarantee a reasonable and open handling of cancellations and associated fees. 

Note: It will take seven to ten business days to process refunds.
